1. the promoter
the promoter of the soul club japan trip prize draw ("prize draw") is wagamama limited, company number 02605751, registered office address 5-7 marshalsea road, london, england, se1 1ep ("promoter", "we" or "us").
2. the prize draw
2.1 the prize draw is a random prize draw to win one (1) grand prize consisting of a trip to japan for the winner and one (1) guest of their choice.
2.2 by entering the prize draw, you agree to be bound by these terms and conditions and you agree that our decision is final and binding in all matters relating to the prize draw. if you fail to comply with these terms and conditions your entry will be void.
3. how to enter
3.1 the prize draw will run from 00:00 on 1 september 2026 until 23:59 on 13 september 2026 inclusive (“prize draw period”).
3.2 entry is available exclusively to registered soul club members. to register, download the official “soul club” app and follow the sign-up instructions.
3.3 each soul club stamp earned up to and including 31 august 2026 counts as one entry into the prize draw.
3.4 each soul club stamp earned during the prize draw period counts as one additional entry into the prize draw.
3.5 soul club members can view their stamps in the soul club app.
3.6 soul club members may also win additional entries through the in-app “spin to win” mechanic during the prize draw period.
3.7 there is no limit to the number of entries a member may accrue.
3.8 no purchase is necessary. a free entry route is available by emailing soulclub@wagamama.com during the prize draw period with the subject line 'japan trip prize draw'. a maximum of one free entry per person.
4. eligibility
4.1 the prize draw is open to registered soul club members resident in the uk aged 18 years or over, excluding:
employees of the promoter or its holding or subsidiary companies;
employees of agents or suppliers of the promoter or its holding or subsidiary companies, who are professionally connected with the prize draw or its administration; or
members of the immediate families or households of the above.
4.2 by entering the prize draw, you confirm that you are eligible to do so and eligible to claim the prize. the promoter may require you to provide proof that you are eligible to enter the prize draw including proof of age and identity. we reserve the right to refuse entries if you are unable to do so.
4.3 the winner's guest must also be aged 18 or over.
5. the prize
5.1 one winner will receive a trip to japan for the winner and one guest (the “prize”).
5.2 the prize includes return economy flights from a major london airport to tokyo, six (6) nights’ accommodation in at least a 4* hotel in tokyo, return private airport transfers in the uk (up to a maximum value of £600) and in japan, full day mount fuji and hakone tour with bullet train experience, tokyo sights tour including sumo experience, and such other inclusions as may be confirmed by the promoter and/or clarity travel at the time of booking.
5.3 all other costs and expenses including passports, visas, insurance, spending money and incidental expenses are the responsibility of the winner and guest.
5.4 travel must be booked by 31 december 2026 and completed during 2027.
5.5 certain dates are excluded: 26 march to 30 april 2027, 9 to 31 december 2027, and any other dates notified by the promoter or clarity travel.
5.6 the winner and their guest must travel together.
5.7 the prize is non-negotiable, non-transferable, non-exchangeable and no cash alternative will be offered.
5.8 the promoter reserves the right to substitute a prize of equal or greater value if necessary.
6. the winner
6.1 one (1) winner will be selected at random from all eligible entries.
6.2 the draw will take place during the week commencing 15 september 2026.
6.3 the winner will be contacted by email and/or via the soul club app by 30 september 2026 including instructions to claim and redeem the prize.
6.4 the promoter will make reasonable efforts to contact the winner of the prize draw. if the winner cannot be contacted, or has not responded or claimed their prize within seven (7) days of being contacted, the winner will forfeit their right to a prize. the promoter reserves the right to draw a new winner at random from all eligible entries that were received before the end of the prize draw period.
6.5 the promoter's decision is final, and no correspondence or discussion will be entered into.
7. claiming the prize
7.1 the winner will receive instructions on claiming the prize.
7.2 the prize may not be claimed by a third party.
7.3 the winner and guest may be required to complete documentation before travel is confirmed. failure to provide requested information may result in forfeiture of the prize.
7.4 the prize will be arranged and fulfilled by clarity travel limited ("clarity travel") on behalf of the promoter.
7.5 following acceptance of the prize, the winner may be required to liaise directly with clarity travel to arrange and confirm travel dates, passenger details and booking requirements. the winner and guest shall be bound by any applicable booking terms and conditions of clarity travel and any airline, hotel, transport provider, experience provider or other third-party supplier involved in fulfilment of the prize.
8. travel conditions
8.1 the winner and guest are responsible for ensuring they hold valid passports, visas and travel documentation, and that they have any required or recommended travel vaccinations and suitable insurance in place before they travel.
8.2 the promoter accepts no responsibility if the winner or guest is unable to travel due to failure to meet entry or travel requirements or is deemed unfit to travel.
8.3 travel arrangements are subject to the terms and conditions of clarity travel and relevant third-party suppliers. the promoter shall not be responsible for the acts or omissions of clarity travel or any other third-party supplier, except where liability cannot be excluded by law. compliance with third-party terms and conditions is the sole responsibility of the winner and their guest.
8.4 all travel bookings are final. changes after booking will not be permitted and any resulting costs shall be borne by the winner.
9. limitation of liability
9.1 nothing in these terms excludes liability that cannot legally be excluded. subject to this, the promoter, its agents and their employees shall not be liable in any circumstances for loss, damage, personal injury or death arising from acceptance or use of the prize except where caused by their negligence. your statutory rights are not affected.
9.2 the promoter accepts no responsibility for (a) any cancellation, postponement or alteration of the prize draw; (b) any cancellation, changes to, postponement of, or use of the prize; or (iii) any act or default of any third-party supplier.
10. data protection and publicity
10.1 by entering the prize draw, participants are providing their personal information to the promoter. we will, at all times, process your personal data in accordance with our privacy policy, the uk data protection act 2018, and applicable laws.
10.2 we are required to either publish or make available information that indicates that a valid award took place and to comply with this obligation we will send the surname and county of the winner to anyone who emails soulclub@wagamama.com within one month after the expiry of the prize draw period. by entering the prize draw, the winner agrees to the disclosure of their surname and county.
11. general
11.1 the promoter may, at its sole discretion, exclude from the prize draw any participant who breaches these terms and conditions.
11.2 the promoter reserves the right to void, suspend, cancel or amend the prize draw where necessary.
11.3 these terms are governed by english law and subject to the jurisdiction of the courts of england. if any entrants to the prize draw wish to take court proceedings, then they must do this within the courts in the united kingdom.
